Together, the Site and the Arena are referred to as the “Service.” This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you visit our Site or use the Arena.

Account Information: When you create an Arena account, we collect your name, email address, and password. If you sign up through Google OAuth, we receive your name and email from Google.
Payment Information: If you subscribe to a paid Arena plan, payment is processed through our third-party payment processor. We do not store your full credit card number or payment credentials on our servers.
Session Content: When you use the Arena, we collect the text and voice inputs you provide during training sessions, including conversation transcripts, responses, and any content you generate within the platform.
Inquiries and Contact Information: If you contact us through the Site (e.g., via a contact form, email, or scheduling a call), we collect the information you provide, such as your name, email address, company name, and message content.
1.2 Information Collected Automatically
Arena Usage Data: When you use the Arena, we collect information about your interactions, including session outcomes (win/loss), grades, turn counts, skill tree progression, scenario selections, input method (typed or spoken), and timestamps.
Site Analytics: When you visit the Site, we may collect general analytics data such as pages viewed, time on page, traffic sources, and navigation patterns. This data is collected through third-party analytics tools and is used to understand how visitors interact with our Site.

Improve and develop the Service, including training and refining our AI models and evaluation systems.

3. For Teams: Organizational Access to Your Data
If you use the Arena through a Stem Sales Arena for Teams account provided by your employer or organization (the “Organization”), please be aware of the following:
Your Organization’s designated administrators may have access to your session data, including transcripts, grades, evaluation summaries, skill tree progression, and performance metrics.
Your Organization may use this data for coaching, training management, and performance evaluation purposes.
The Organization, not Stem Sales Solutions, determines how your data is used within their management context. We encourage you to review your Organization’s internal policies regarding employee training data.
If you have questions about how your Organization uses your Arena data, please contact your Organization’s administrator directly.
4. How We Share Your Information
We do not sell your personal information. We may share your information in the following circumstances:
Service Providers: We share data with third-party providers who help us operate the Service, including cloud hosting, AI processing, payment processing, analytics, and website hosting. These providers are contractually obligated to use your data only to provide services to us.
AI Processing: Your Arena session inputs are processed by third-party AI providers to generate buyer responses and performance evaluations. These providers process your data according to their data processing agreements with us and do not use your inputs to train their general models.
Organizational Administrators: If you are part of a For Teams account, your session and performance data is accessible to your Organization’s administrators as described in Section 3.
Legal Requirements: We may disclose your information if required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Stem Sales Solutions, our users, or others.
Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
5. Data Retention
We retain your account information and session data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal or regulatory purposes.
Site analytics data is retained in aggregated, anonymized form and cannot be used to identify individual visitors.
Aggregated, anonymized data that cannot be used to identify you may be retained indefinitely for product improvement and analytics purposes.
